Three records to verify
| Record | Purpose | If missing |
|---|---|---|
| SPF | Declares which servers may send | Treated as spoofing |
| DKIM | Signs the message | Receiver reputation drops |
| DMARC | States what to do on failure | Policy unknown, mail held |
Verify by sending yourself a message and reading the headers for three passes. A sending platform showing "configured" can still be failing because of an unpropagated DNS change.
Separate the sending domain
Sending outbound from your primary domain risks the reputation that your invoices and support replies depend on. Use a subdomain or a separate domain so a reputation hit cannot reach the business.
Warm up
A new domain sending a thousand messages on day one will be filtered. Start around twenty a day, roughly fifty in week two, around a hundred by week four, then adjust on reply rate. Skipping this costs months, because a damaged domain recovers slowly.
Measure replies, not opens
Open tracking depends on image loading and is increasingly unmeasurable. Watch reply rate and spam complaints; cut volume immediately when the latter rises.
FAQ
What if reputation is already damaged?
Stop sending and warm a new domain. That is usually faster than waiting for the old one to recover.
