n8n vs Zapier — where self-hosting stops being worth it
n8n and Zapier automate the same kind of work, but they count usage differently and they place operational responsibility in different hands. Prices below were taken from each vendor's public pricing page in November 2026.

The short version
- Many SaaS tools to connect, and you would rather not run infrastructure → Zapier (8,000+ connectors, free tier)
- Complex logic, or a high number of runs → n8n (free-form nodes, effectively free when self-hosted)
- Data cannot leave your own systems → n8n Community edition, self-hosted
1. How usage is counted
| n8n | Zapier | |
|---|---|---|
| Free | Cloud trial of 1,000 executions / Community edition free when self-hosted | 100 tasks per month |
| Entry paid | Starter EUR 20/mo (annual, 2,500 executions) | Professional $19.99/mo (annual, 750 tasks) |
| Mid | Pro EUR 50/mo (annual, 10,000 executions) | Team $69/mo (annual, 2,000 tasks) |
| Upper | Business EUR 667/mo (annual, 40,000 executions) | Scales with task volume |
| Unit | One workflow run = 1 | One step execution = 1 task |
| Self-hosting | Community, Business and Enterprise | Not available |
This is the difference that matters. n8n counts one run of a workflow as one unit. Zapier counts each step execution as one task. A five-step flow run once costs n8n one execution and Zapier five tasks.
So the more branching and iteration a flow contains, the faster Zapier consumes quota. For simple two-step integrations at low volume the gap is small; for flows with conditionals and loops it changes the order of magnitude. Sketch the shape of the automation before comparing prices, or the estimate will be wrong.
2. Connector coverage
Zapier supports more than 8,000 services, and nothing else is close. Obscure SaaS products usually have a ready-made connector. n8n has far fewer, but its HTTP request node can call any API, so anything with a documented API can still be connected — by hand.
The practical test is whether you are willing to read the API documentation of the service you want to connect. If yes, n8n's flexibility pays. If the point is not having to, Zapier's connector library is what you are buying.
3. Agent features
Both can run AI agents. Zapier gives basic access to Zapier Agents even on the free plan, with 400 agent activities a month. Activities are metered separately from tasks, and on the free plan a single run caps at 10 activities.
n8n builds agents from LLM nodes plus tool calls. You supply the model API key, so model usage is billed separately at cost — which also means you choose the model, including one running inside your own network.
4. When self-hosting is the right call
The n8n Community edition runs on your own server with no licence fee. What you pay instead is server cost and operational attention. Three conditions decide it.
- The data being processed cannot pass through a third-party service, for policy or contractual reasons
- Run volume is high enough that per-execution cloud pricing gets expensive
- Somebody on the team is willing to look after a Docker deployment
If the third condition is not met, self-hosting is a liability rather than a saving. An automation platform that silently stops running is worse than one that sends an invoice.
Frequently asked questions
Which one is cheaper?
It flips depending on flow complexity. For flows with many steps, n8n is cheaper; for a small number of simple integrations, Zapier's free tier or entry plan is enough. Count the steps in the automation you actually want before comparing.
Is self-hosted n8n free?
The Community edition has no licence fee. Server cost and operational work replace it. The vendor documents the Community edition as a self-managed deployment.
Does it make sense to run both?
It is not unusual. Zapier for third-party SaaS integrations, self-hosted n8n for anything touching internal data, is a workable split. The cost is that you now operate two systems and have to document both.
