Support AI in Japanese — the work after the answer

Vendor marketing optimises for the metric that is easiest to show, which is not the one that saves you money.

Decompose the handling time

Writing the answer is one part of handling an enquiry. Choosing the category, summarising what was done, writing the handover note, updating the CRM — these accumulate into the real per-ticket time. Improving deflection alone leaves that untouched and raises your average handling time, because the easy tickets are the ones that disappeared.

What to check for

  • Response generation (everyone has this)
  • Automatic classification
  • Automatic summarisation of the interaction
  • Handover record generation
  • A designed escalation path to a human

The last three determine how much time is actually saved. Catalogues collapse all five into "AI responses", so ask about them individually.

The knowledge base is the project

Answer quality follows the knowledge base. A stale FAQ becomes a confident wrong answer, and unlike a human agent the system does not notice it is reading something obsolete. Spending three months on vendor selection and two weeks on knowledge clean-up is the wrong order.

Do not forget the internal helpdesk

Customer enquiry volume is measured; internal enquiry volume usually is not. It tends to be larger and more repetitive, which makes it the better automation target. Include it in the scope when you build the business case.

FAQ

Is a global tool's Japanese support good enough?

The generation quality usually is. The gap is in response tone matched to Japanese business norms and in domestic contracting and support.
